Privacy Policy
This policy explains what data we collect, why, how long we keep it and who sees it. Data controller: Cotree LLC, a limited liability company registered in the State of Iowa, USA (Business No. 891910), located at 6701 Corporate Dr Ste N, Johnston, IA 50131, USA, with an office in Baghdad, Iraq (“Cotree”, “we”).

1. What we collect
Identity data: name as in the passport, date of birth, nationality, country of residence, address, phone, e-mail, and a photo of the passport data page.
Company data: name options, activity, website, official e-mail.
Payment data: we never see or store your card number; it is processed by the Al Qaseh gateway. We keep the transaction id, amount, status and approval code.
Technical data: IP address, browser type and usage logs needed for site security.
2. Why
To deliver the service: verify your identity, prepare the formation papers, SS-4 and D-U-N-S, and contact you about your order.
To meet legal obligations (anti-fraud and anti-money-laundering, US government requirements).
To improve the service through aggregated statistics that do not identify you.
3. Who sees it
Cotree’s fulfilment team with limited permissions. The passport image is kept in a separate vault opened through short-lived links, and every access is logged.
Only the parties needed for execution: the registered agent in Iowa, the US Internal Revenue Service, and Dun & Bradstreet, as each order requires.
Infrastructure providers: Google Firebase (storage and hosting), the Al Qaseh gateway (payments) and the e-mail provider. We do not sell your data or share it for marketing.
4. How long
Passport image: deleted automatically 90 days after handover (or cancellation).
Textual order data: kept for the life of the company for renewals and reminders, then 5 years after closure for legal obligations.
Payment records: 7 years per accounting requirements.
5. Security
Encryption in transit and at rest, restricted access permissions, short-lived links for sensitive documents, and an access log for passport images.
6. Your rights
You may request a copy of your data, a correction, or deletion of what we are not legally required to keep, via info@cotreeiq.com. We reply within 14 days.
7. Cookies
We use essential local storage to remember your order while you fill it, and aggregated measurement tools. No tracking ads on this site.
